Position Summary

Office Administrator: Under the supervision of the Southern Regional Office (SORO) Regional Director, the Office Administrator provides general office and program support and also assists with implementation of Trail management programs, exercising autonomy in day-to-day affairs when the regional director is away from the office.


Essential Duties and Responsibilities

General Office Support

Answer telephones and greet visitors; file; draft, edit, proofread and process correspondence; maintain financial and legal records; enter and manage office purchase orders; reconcile financial statements and serve as office controller; maintain computer systems and back up electronic data;; maintain office supplies and systems; maintain regional directory; maintain office calendar; schedule staff meetings; take and disseminate meeting minutes; set up and maintain office organizational systems; participate in general staff meetings and activities.

Program Support

Coordinate communications between ATC, agency partners, and club volunteers; represent ATC while answering information queries; create and maintain databases; assist with preparation and placement of advertising for crew programs; assist with recruiting for SORO ATC Volunteer Programs; arrange Southern Partnership Meeting and Regional Partnership Committee (RPC) meetings; serve as secretary for the RPC and license plate committees; assist with the Hiker Voluntary Registration program, coordinate and edit monthly e-news; manage license plate grant programs; facilitate regional fund raising and reporting; coordinate regional volunteer recognition programs, prepare news releases and media background packages for general dissemination; coordinate submission of news articles and features for Conservancy periodicals; maintain project tracking data; coordinate regional updates of ATC website; respond to emergencies in the absence of other regional staff; facilitate new volunteer involvement with Trail projects; support workshop development with Trails to Every Classroom (TTEC), support A.T. Communities program (Trailwide),assist with Youth Outreach Programs, and perform other duties as assigned, including duties requested from ATC's headquarters.


Qualifications

High School diploma or equivalent is required.

1-2 tears administrative/office management experience.

Proficiency in Microsoft Office Suite including PowerPoint and Excel, and internet usage. The incumbent should be able to communicate professionally, both verbally and in writing, including electronic communication.


Physical Demands

Ability to communicate with individuals by phone, email, and in person.

Working on the computer or telephone for prolonged periods.

At times, may require the ability to lift or move light to moderate weight.

Some travel may be required.


Work Environment
Moderate noise level office environment with a high level of activity on the phone, computers, and printers.
